What you'll learn

  • Ask for layouts that match the sessions
  • Walk the transition between sessions
  • Assign technical responsibility before comparing prices

For a Richmond conference, compare venues against a room schedule rather than a single attendance number. The opening session, simultaneous workshops, lunch, and closing discussion may need different layouts at different times. A building can have enough total space and still be awkward for the program you intend to run.

Start with a grid showing each session, its attendance, its room arrangement, and its equipment. Mark activities that happen at the same time. This reveals whether you need separate breakout rooms or can run the event comfortably in one main room.

Ask for layouts that match the sessions

The Greater Richmond Convention Center's floor-plan resources provide an example of the kind of room information to request from a conference property. Use the operator's current plans and event contact to discuss the setup you need. A published plan is not a quote or confirmation of availability.

For any venue, distinguish a presentation audience from participants seated at worktables. Count presentation equipment, speaker space, service positions, and approved circulation routes in the layout. Ask whether room divisions affect sound or movement when sessions happen simultaneously.

Session type Venue question
Opening presentation Can everyone see and hear from the proposed seats?
Small-group workshop Do participants have usable work surfaces and enough room to collaborate?
Concurrent breakouts Are the rooms available together, and how are participants directed?
Lunch and networking Is food served in the session room or in a separately included area?
Hybrid session Who provides the connection, microphones, camera, and technical support?

Walk the transition between sessions

Trace the route from check-in to the first session, then to a breakout, refreshments, and restrooms. Ask which areas are shared with other groups and where signs may be placed. A room name printed on a program is useful only if guests can find that room from their actual entrance.

Avoid scheduling every room to end and restart instantly. Allow time for people to leave, enter, ask a question, or use the facilities. If staff must change a layout, ask how long that change needs and what space participants use while it happens.

Assign technical responsibility before comparing prices

“AV included” is not a complete specification. List microphones, speakers, displays, adapters, presentation controls, power arrangements, internet access, and operator support individually. Establish what the venue supplies, what the presenter brings, and who resolves a problem during the session.

If remote participants are involved, plan how they hear audience questions and join discussion. A camera aimed at a speaker may not support a workshop. Our hybrid workshop guide helps define participation before choosing equipment.

Ask for a rehearsal or equipment-check window within your approved access period. Keep an agreed alternative for a failed presentation device so the whole schedule does not depend on one connection.

Compare food service and room access together

Confirm where refreshments are served, whether service noise affects nearby sessions, and when staff need access. If lunch uses the same room as a workshop, decide whether materials stay on tables or must be removed.

For dietary information, establish how participants communicate needs and which supplier answers food questions. Do not infer a catering capability from a generic venue description. Ask the operator to state the service arrangement and any required purchases in the proposal.

Request one complete conference proposal

Send the room schedule, expected attendance, layouts, equipment list, food plan, and full access period. Ask for a cost breakdown that identifies rooms, service, equipment, staffing, and any other applicable charges. Confirm deadlines for changing attendance and room requirements.

Keep lodging and transportation separate unless the proposal explicitly includes them. A meeting room in a hotel does not by itself reserve bedrooms or guest parking.

Browse published spaces if your conference requirements fit the listed rooms, or use the hotel meeting-room guide to prepare direct inquiries. The Richmond-area venue hub connects area guides with other meeting formats.

Common questions

How should I compare conference-room capacities?

Use the layout for each session, including tables, presentation equipment, and circulation space. Request an approved plan rather than applying a standing or theater figure to every format.

Does a conference venue's internet access guarantee a hybrid event will work?

No. Confirm the connection, equipment, audio arrangement, technical support, and a rehearsal with the people delivering the remote sessions.
