Key decisions

  • Choose the cluster from where guests start.
  • Treat each named Arlington cluster as its own journey.
  • Write the extra time on the people who would carry it, then check the real journey.

Rosslyn, Courthouse, Clarendon, Ballston, Crystal City, and Pentagon City are different journeys inside one county. Choose the cluster from where guests start, then choose the room. "Arlington" on a shortlist is a county label. The cluster is the trip you are asking people to make.

List a few starting points before you collect rooms. Broad areas are enough: who is already in Arlington, who would be coming from DC, and who is coming from somewhere else. You do not need home addresses. You need enough to see which cluster places the travel on which people.

Put a cluster name on every address

Write the cluster beside the street address for each candidate. Two Arlington rooms can still be different journeys. Use the six names as sorting labels: Rosslyn, Courthouse, Clarendon, Ballston, Crystal City, and Pentagon City. Keep a room in the running only after its cluster still fits the starts you wrote down.

The label sorts the research. The entrance still has to be confirmed with the operator. A building can sit near a place name and use a door that changes the walk, the elevator, or the garage. Ask for the door guests should use, and file that door under the cluster. If deliveries use a different door, write that door on its own line. Ask the operator to answer for your activity, attendance, date, and full access window.

Check the journey for the date and the time

Look up the trip in WMATA rider tools. Check it for your date and time, from a representative start to the entrance the operator named. A station that shares a name with the cluster does not finish the question. The walk from the station, the elevator, and the garage are still details to confirm with the property.

Run the check again before you send directions. DMV public-transit meetup invitations covers how to put the entrance and a current trip-planning reference into the invitation, including the return.

Guests who drive need the garage or drop-off the operator confirms, on its own line. Ask whether that stop is the same door as the station route. When it is a different door, the invitation should say so.

County facilities and private rooms use different contacts

Arlington County Parks and Recreation is a county facility research starting point. It is not a private-room inventory. Use the page to find the county's own facility information, then follow the process it describes for a county site. This guide does not copy hours, fees, or reservation rules from that page.

A hotel, restaurant, office, or other private room has its own operator. Write that name next to the address before you compare quotes. A county page does not confirm a private date, and a private agreement does not reserve a county facility. If a listing names a room without a booking contact, find the contact before you pay a supplier or announce the date.

Say in the first message if you need food, sound, extra equipment, or a loading stop. Ask who confirms that use. Leave the candidate off the invitation until that answer is in writing, including the hours they are willing to hold.

Write the extra burden down, then check the real journey

Here is a hypothetical for the worksheet. It is an illustration of writing the burden down. It is not a measured travel time. The group is 40 guests, 12 of whom would be coming from DC. A room that adds a stated hypothetical 25 minutes for those 12 people is the tradeoff to write down.

Twelve times 25 is 300 person-minutes. Three hundred divided by 60 is 5 hours of combined time on those 12 people. The other guests are 40 minus 12, which is 28, and their journeys belong on their own lines. Spreading the 300 person-minutes across all 40 guests is 300 divided by 40, which is 7.5 minutes. That average describes nobody's trip. Keep the 12 on their own line so the tradeoff stays visible.

The 25 minutes is not a measured travel time from DC to any Arlington cluster or address. The real journey has to be checked for your date, time, starts, and entrance. Replace the 25 with the figure you look up, multiply again by the number of people on that start, and decide whether those people should carry it.

Compare the room only after the cluster survives

Worksheet line What you record
Starts A few origins, with anyone coming from DC counted separately
Cluster Rosslyn, Courthouse, Clarendon, Ballston, Crystal City, or Pentagon City
Entrance The door, and the station, garage, or drop-off you checked against it
Room Layout, furniture rules, and whether the group has that space to itself
Hours Quoted access beside delivery, the program, and cleanup

Rosslyn is a Metro station among high-rises, not a Georgetown door. Use Event venues in Rosslyn, VA for that cluster. Crystal City is the hotel cluster next to the airport, not National Harbor and not a downtown DC night. Use Event venues in Crystal City, VA. Courthouse, Clarendon, Ballston, and Pentagon City stay on this page.

Ask the operator to answer for your layout and your hours. When a candidate is in Washington, DC, use Event venues in Washington, DC for the entrance, the desk, and the quoted hours. Keep the District row and the Arlington row apart. The venue comparison worksheet can hold the rows while the answers are still uneven.

Use the listing that exists, then confirm the date

DMV venue guides collects the guides for this region, including Washington, DC and Arlington. A Richmond address is a separate trip. Read it through the Richmond and RVA venue guide and the Richmond venue guide. DMV event planning guides is the wider set for the gathering after the place is confirmed.

Published spaces are whatever is actually listed. Browse published spaces, read the address on the listing, and ask the operator to confirm the date. With a place you have permission to use, plan the gathering from the entrance and the hours that were confirmed.

Common questions

Which Arlington place name should I choose first?

Choose the cluster from where guests start. Rosslyn, Courthouse, Clarendon, Ballston, Crystal City, and Pentagon City are different journeys, so confirm the entrance and the trip before you compare rooms.

Can I use 25 minutes as the travel time from DC?

No. Twenty-five minutes in this guide is an illustration of writing a burden down. Check the real journey for your date, time, starts, and entrance, then replace the illustration with that result.
