RVA event contact sheets without unnecessary personal data

An RVA event contact sheet should identify the people who can resolve operational questions. Include only the contact details needed by the team using it.

What you'll learn

  • Group contacts by responsibility
  • List the contact who can act now
  • Decisions to resolve before you commit

An operating contact sheet should identify who resolves access, food, equipment, and guest issues during the event. A sales contact who arranged the quote may not be the person available on the day.

Group contacts by responsibility

List venue access, food, equipment, guest communication, and the lead organizer. Mark who is available during each part of the event. Keep the sheet out of public signage and remove obsolete versions when details change.

List the contact who can act now

If a caterer has a separate day-of contact, record that number instead of relying on the sales contact who arranged the quote. Verify the contact before the event.

Use a compact format: role, name, contact method, available hours, backup. Confirm the details before the event and retire outdated copies. Keep the sheet separate from guest-facing signs and avoid including personal attendee information that is irrelevant to operations.

Decisions to resolve before you commit

Decision What a usable answer includes
Role State the problem each contact can resolve
Availability Confirm when the person is reachable
Access Share the sheet only with those who need it

Avoid the mistake that creates extra work

Do not collect every guest's phone number into an organizer directory just because it is available. Limit the sheet to the contacts needed for the work.

Build the contact sheet around questions people will ask

Start with the work: who opens the room, receives supplies, resolves attendance questions, operates equipment, and accepts final handover? Record the current contact method and availability for those responsibilities. A list of names without roles leaves helpers guessing whom to call.

Role Contact needed by Confirm before sharing
Venue access Setup lead Actual access window and backup
Supplier receiving Delivery lead Person is present during the window
Attendance decision Welcome helper Authority to resolve unclear requests
Equipment support Facilitator or speaker lead Supported equipment and availability
Final handover Cleanup lead Who accepts the room and when

In an illustrative shift change, the venue contact at setup may not be the person working at closing. Confirm both instead of assuming the first number remains the right one all day. Give each helper the contact information they need, not every attendee's personal details.

Use the coordinator briefing to connect these contacts to tasks and handoffs. Keep the guest-facing contact in the information sheet separate from the full working directory.

Common questions

Should every guest's phone number be on the contact sheet?

No. Limit the operating sheet to the contacts required to run the event.
