Event supplier handover checklist: receive, check, and return what was agreed

Prepare a practical receiving and collection process for event supplies, with scope checks, discrepancy notes, named contacts, and return responsibilities.

Key decisions

  • Give the receiving person the current agreed order.
  • Separate checking a delivery from approving a change or charge.
  • Confirm collection responsibilities before the supplier leaves.

A supplier handover should establish what arrived, what still needs attention, and who owns the next step. Give the receiving person a current order or scope record and a way to reach the person authorized to resolve a difference.

Use your actual supplier and venue arrangements. A checklist supports those agreements; it does not replace the acknowledgment, acceptance, or return process that applies.

Prepare the receiving person

Share the supplier name, expected items, quantities, agreed arrival window, approved entrance, and destination. Explain whether the supplier sets up, delivers only, or performs another service.

Name the backup contact in case the receiving person is delayed. Do not assume venue staff will accept goods simply because they can open the door.

The supplier brief template helps settle these details before the date.

Check the handover in a useful order

Check Record or confirm
Correct event and order The delivery matches the intended gathering
Items and quantities What is present and what differs from the agreed scope
Relevant condition Any visible issue recorded through the agreed process
Setup Who positions or prepares the items
Instructions What the authorized user needs to operate or handle them
Collection Time, place, packing, and return owner

Follow the supplier's instructions for items that require specific handling. Do not improvise specialist checks outside the receiving person's role.

Work through a quantity discrepancy

Imagine a workshop order specifies 24 agreed items, but the delivery contains 22. The receiving lead notes the count and contacts the supplier and organizer. They do not silently divide fewer items among guests or authorize a more expensive substitute without the appropriate decision.

The organizer can assess the actual options: a correction, an agreed alternative, or a program change. Record the chosen resolution and update the people preparing the activity.

The useful record is factual: what was expected, what arrived, whom you contacted, and what was agreed.

Make setup responsibility explicit

“Delivered” and “ready for use” may be different states. If the supplier is only bringing items to an agreed point, the event team still needs a plan for any permitted positioning or preparation.

If setup is part of the service, confirm who checks the result and which instructions are passed to the person using the items. Coordinate that task with the setup timeline.

Plan the return while details are fresh

Confirm which items are collected, how they should be presented, and what must be counted. Identify packaging or containers that need to stay with the equipment.

Ask about any proposed collection change before assuming goods may remain beyond the booked access window. The venue and supplier may need separate confirmation.

Close the handover record

At collection, compare the items with the agreed return list and record unresolved questions through the actual process. Keep guest belongings and event-owned supplies distinct from supplier property.

Use the delivery-window guide to coordinate access. Prepare the logistics so the delivery, use, and final return each have a responsible person.

Put it into practice

Track the decisions you’ve made and the questions still to ask.

A little more clarity

Common questions

Who should receive an event delivery?

Choose someone who will be present, has the current agreed order, and knows how to contact the authorized decision maker. Confirm which checks and acknowledgments they are responsible for.

What if delivered items differ from the order?

Record the difference and contact the supplier and authorized organizer through the agreed process. Do not assume a helper may approve substitutions, extra charges, or a revised scope.
