Event location change message template: help guests reach the right place
Announce a confirmed venue change with the new address, entrance, timing, response needs, and a process for reaching affected guests and helpers.
Key decisions
- Confirm the new arrangement before directing guests there.
- Put the changed location and required action first.
- Update helpers, suppliers, and event details as well as guests.
A location change message should tell guests where to go and what they need to do differently. Put the change before the explanation. Confirm the new room and practical arrangements before sending anyone to an alternative address.
If a new place is still being considered, send a status update instead of presenting it as final. Give the next update time and decision owner only when those commitments are real.
Verify more than the street address
Check the room, entrance, guest hours, permitted use, and any access or participation arrangements affected by the move. Ask the responsible people to review the new plan rather than assuming the original setup transfers unchanged.
A nearby room may have a different entrance, furniture, food arrangement, or supplier access window. Identify the differences that matter to guests and organizers.
Use a direct subject and opening
Subject: New location for [event] on [date]
The location for [event] has changed. Please come to [confirmed venue and full address], using [entrance instructions]. Guest hours are [start and finish]. [State whether the time is unchanged or explain the revised time.] Please [reply, review instructions, or other actual action]. Contact [person and method] if the change affects your attendance or participation arrangements.
Use a short factual explanation if it helps, but do not place it ahead of the new destination. Replace all placeholders before sending.
Include only confirmed practical differences
| Change | Information to provide |
|---|---|
| Different entrance | The verified route guests should use |
| Different room setup | Any participation detail guests need to know |
| Revised timing | Explicit old-to-new change where helpful |
| Changed preparation | What guests should bring or do differently |
| Separate travel arrangements | What guests need to review for themselves |
Do not invent parking availability, travel times, or access features. If the new place changes something a guest previously discussed privately, contact them through the appropriate channel.
Update every version of the plan
Check the event page, queued reminders, calendar information you control, speaker instructions, supplier brief, volunteer notes, and signage. Assign owners rather than assuming one message will update everything.
In an illustrative workshop move, guests receive the correct address but the materials delivery still goes to the old room. The guest communication succeeded while the operational handoff failed. Use the communication worksheet to identify those separate audiences.
Decide how to follow up
For a late change, identify who will handle questions and how guests can reach them. Use the agreed communication channels and avoid exposing the guest list.
If you ask for acknowledgment, track the replies through your actual process and decide who follows up with people still needing the information. An acknowledgment helps establish receipt; it does not automatically confirm that every participation concern is resolved.
Share a clean final instruction sheet
Replace conflicting old information where you control it and label the current version. The guest information sheet can hold the new arrival details in one place.
If the event date also changes, use the postponement template to explain the attendance implications. Review the gathering plan so the location message matches the arrangements the team will deliver.
Put it into practice
Track the decisions you’ve made and the questions still to ask.

Common questions
What belongs in an event venue-change message?
Name the event, state that the location has changed, provide the confirmed new address and entrance, repeat the guest hours, and explain the next action. Mention relevant changes to the arrangements without burying the main instruction.
Is updating the event page enough?
A page update makes the current information available, but it does not establish that guests saw it. Notify affected people through the agreed channel and use an appropriate follow-up process for a material change.
